Article VI – Duties of Officers
Section 1: President – it shall be the duty of the President to:
- Be the chief executive of the club
- Preside at meetings
- Represent the club
- Serve as the liaison between the club and the administrative offices
- Appoint the presidential cabinet, committees or commissions that are deemednecessary
- Call special meetings of the club
- Meet with advisor
- Take care that this constitution and the laws of the student body are faithfullyexecuted
- Perform any administrative power or duty not provided for in this constitutionSection 2: Vice-President – It shall be the duty of the Vice-President to:
- Preside in the absence of the President
- Assume presidential office upon vacancy
- Appoint staff asides as deemed necessary
- Make sure member registration, event registration and all other necessaryforms are completed
- Meet with advisorSection 3: Secretary – It shall be the duty of the Secretary to:
- Record the minutes of all meetings
- Keep a file of the club’s records
- Maintain a current roster of membership
- Issue notices of meetings and conduct the general correspondence of the club
- Report to the President
Section 4: Treasurer – It shall be the duty of the Treasurer to:
- Keep complete and accurate accounts of the club
- Sign requisitions for club funds
- Receive all funds and process Request for Payment, Deposit Slip, and OfficerSignature Forms
- Keep an itemized account of all receipts and expenditures and make reports asdirected
- Report to the PresidentSection 5: Dual Roles – a single member can be responsible for two roles:
- Dual roles may be held by the secretary or the treasurer.
- Dual roles may only be given if approved by all other officials as well as theperson absorbing the extra role.
- Duals roles can only be made if an official position is unable to be filled.
- In the case of a dual role, a single member may not vote for two seats.Article VII – MeetingsSection 1: Meetings – Regular meetings shall be held every Friday during the regular school year.Section 2: Special Meeting – Special meetings may be called by the President with the approval of the Executive Committee.Section 3: Quorum – A quorum shall consist of two-thirds (2/3) of the membership.Section 4: Parliamentary Authority – Robert’s Rules of Orders, shall govern this club in all cases to which they are applicable and in which they are not inconsistent with these by laws.Article VIII – Advisor
Section 1: Selection – there shall be a faculty/staff advisor who shall be selected by ECPI University
Section 2: Duties – The responsibilities of the faculty advisor shall be to:
- Maintain an awareness of the activities and programs sponsored by the student club.
- Meet on a regular basis with the leader of the student club to discuss upcoming meetings, long range plans, goals, and problems of the club.
- Attend regular meetings, executive board meetings as often as schedule allows.
- Assist in the orientation of new officers.
- Explain and clarify campus policy and procedures that apply to the club.
- Maintain contact with the School Offices.
- Provide direction in the area of parliamentary procedure, meeting facilitation,group-building, goal setting, and program planning.
- Assist the club treasurer in monitoring expenditures, fundraising activities,and corporate sponsorship to maintain an accurate and up-to-date accountledger.
- Inform club members of those factors that constitute unacceptable behavior onthe part of the club members, and the possible consequence of said behaviors.Article IX – Removal of MembersSection 1: Conditions of probationStep 1: Any member who is absent for three consecutive meetings without notifying another member will receive a probationary warning.Step 2: Upon receipt of probationary warning, the member will be required to make all scheduled meetings for an entire term.Section 2: Conditions of removal
Step 3: Another missed meeting during this probationary period results in removal from club roster.
Article X – Removal of Officers
Section 1: Conditions of removal
Step 1: Officers must adhere to the attendance requirements list in Article IX. However, upon a third missed meeting with no notification, results in immediate removal from the position of club officer.
Step 2: An officer removed from office will become a regular club member and will be placed on probation. At this point, Step 3 of Article IX will apply.
Section 2: Officials who become an official of any other club automatically lose title of official in the club.
